Programme Management Assistant at ESCWA

United Nations Economic and Social Commission for Western Asia (ESCWA) is seeking a Programme Management Assistant to join its team. This role involves supporting the planning, implementation, and monitoring of ESCWA’s programmes and projects.

Main Responsibilities as Programme Management Assistant at ESCWA:

  • Programme Coordination: Assist in the planning and preparation of programme and project initiatives, including monitoring the status of proposals and ensuring the receipt of relevant documentation for review and approval.
  • Data Compilation and Presentation: Gather, summarize, and present information and data on specific programmes, projects, and related topics.
  • Document Review: Examine project documents, especially cost plans and budgets, for completeness and compliance with relevant rules and procedures prior to final approval.
  • Budget Management: Review budget revisions, verify the availability of funds, and ensure necessary approvals are obtained and recorded in the computerized budget system.
  • Administrative Coordination: Serve as the focal point for administrative tasks related to programme and project implementation, liaising with various organizational units to initiate requests, obtain clearances, and process administrative actions such as recruitment, travel arrangements, and procurement of equipment and services.
  • Data Entry and Reporting: Compile and enter data on project delivery, draft status reports, identify shortfalls in delivery or budget overruns, and bring these to the attention of management.
  • Correspondence and Reporting: Draft correspondence on budget-related issues and prepare periodic reports, briefing notes, and statistical summaries.
  • General Office Support: Provide assistance with tasks such as responding to complex information requests, maintaining files and records, organizing meetings and workshops, and handling routine administrative tasks.
  • Guidance and Training: Provide guidance and training to new or junior staff members.
  • Data Analysis and Visualization: Assist with the collection and analysis of data related to ESCWA platforms, prepare data presentations and reports, and update information materials such as web pages or brochures.

Main Competencies as Programme Management Assistant at ESCWA:

  • Professionalism: Knowledge of internal policies, processes, and procedures related to programme and project administration, implementation, and evaluation. Ability to work well with figures, conduct basic research, and gather information from standard sources.
  • Communication: Ability to speak and write clearly and effectively, listen to others, and respond appropriately.
  • Accountability: Takes ownership of responsibilities and honors commitments, delivering outputs within prescribed time, cost, and quality standards.

Required Education and Experience as Programme Management Assistant at ESCWA:

  • High school diploma or equivalent is required.
  • A minimum of five years of experience in programme or project administration, technical cooperation, event management, or a related area is required. The minimum years of relevant experience is reduced to three for candidates who possess a first-level university degree or higher.
